The attached general proposal gives a thumbnail sketch of the content-pages we will use to accomplish our goals.

Also attached is a page of tech-talk that discusses the website hosting features you will have. We outsource this function to take advantage of the large investment and well-deserved, excellent reputation of one of the best web hosting vendors in the market. Essentially, the package price quoted here will include domain registration and domain hosting for two years with more than enough computer power to do the job.

Finally, the mocked up dummy pages on our site let you see the general look and feel that we will be using. Of course, the pages will need a few changes and the header of the page should include a graphic that we will have to produce for the purpose, but the mock-ups will give you the general idea.

Yet another option you may want to consider is the actual sale of products to your patients. Examples might include the sale of asthma-breathing products. On the positive side, you may be able to make extra money by selling these products. On the negative side, if you elect to do this and have not been doing so before, you will also introduce the necessity for shipping materials and handling that you have never had before. Sales volumes will probably be small, but given the right products, they can be lucrative. The decision on whether to do this is, of course, one you must make, but we will be happy to consult with you and help evaluate the potential if you are interested.

Oh, yes, and we should mention to you that the web is not exactly like being in your office where you can judge whether the patient understands what you're saying. Visitors to this website will likely include not only people who have minimal educational backgrounds, especially where anything medical is involved, but also inhabitants of third-world countries who are looking for information to help with problems they and their family members are having--in the complete absence of any medical help. We mention these two points because what may seem all too ovbious to you to worry about may not be obvious to your potential patients at all, let alone to those poor third-world website visitors...how far you go with providing information is up to you.

Preliminary Survey



Just so you'll know, when you contract with us to do a website, the first thing we will do is what we call a preliminary survey. We will go on the web and try to check out your online competition as well as what can be used for a domain name. (The domain name is your website name, e.g., IHSsoftware.com is our domain name.) There are other things to consider in selecting a domain name, and we will point these out as we give you two or three viable options to select from.

While performing this survey, we will also survey the key words that will be used to get you good placement on the search engines. The entire website will be built with these words in mind so that people can find you amongst the one-billion-plus websites that now exist on the world-wide-web. (On the positive side here, few allergy/ashtma/imunology doctors are listed on the web and this will make your search-engine-placement better.)

Because the entire website will be designed around the things we learn in this survey, this initial step is extremely important to your eventual website. That is why we felt it necessary to mention it here.

Proposed Website Pages



1. Home Page

Left side = menu. Right side = picture of Doctor and a list of basic points about her/him and about your clinic. On this page will be a series of buttons linking the patient to various other sites on the web where there are excellent resources available to provide pollen count information, explain about what allergies and asthma are, what causes them, how and why certain tests are run to confirm your diagnosis, etc...see the mock-ups for these links and try them.

Note that because of the extreme danger presented to any patient who is having a severe anaphylaxis episode, a "hot button" is provided which basically tells them to get the patient to medical help NOW!

Logos for medical academies, societies, or other professional organizations can be included on this page if applicable. (Our mock-ups show two dummy logos just to give you the idea.)

Think of the home page first as a large business card. Then think of it as your initial ad that you will present to the online, prospective patient. This is your first impression on the website visitor. It must load quickly and grab their attention so that they will not leave the site and just move on. It must offer something of extra value to bring your patient back time and time again. It must also offer the visitor the chance to see what you do and quickly, easily, get to the information they want...if they have to hunt for it, they'll probably just move on. Each page on your site will present the same look and the same left-hand menu to help the web visitor navigate the site. For all of these reasons, this is probably the most important page on your website.

A word of caution is in order, too. It is quite possible to build a home page that is really "cool" or "flashy" but that search engines will never find. We will not do this without explaining it to you before we do it. Remember, the entire purpose of the website is to make money--not to look "cool" or "flashy."

Please, look at the mocked-up websites to get an idea of what we recommend as a home page. These pages represent samples that will do all of the things the site needs to do. However, also note that our mock ups are simply examples and many variations on the theme exist; if you deviate far from what we have shown there, be sure you know the long-term search-engine and load-time reprecussions before you do it.

2. "About Us" Page

Showing the same menu as the home page, the data here will always be divided into at least three sections:

  1. Meet Dr. xxxxxxxxx will include text, a picture, and a link to a page showing Curriculum Vitae for the doctor. Note that if there is more than one doctor, there will be a separate page for each doctor.

  2. Meet the Medical Staff will include a picture and a general description designed to inspire trust and confidence-verbiage about how they care for patients, how many years of experience they represent, etc. Nurses and assistants who see the patient to give shots, do actual testing, etc., should be elaborated here to the same extent as the doctor (see above).

  3. Meet the Staff will include a picture of the office staff and verbiage about how the office staff will strive to serve and help the patient and to meet the patient's needs-physical and otherwise.

3. "Contact Us" Page and "Make An Appointment" Pages

Actually this is two pages. One is for "Make An Appointment" and one is for existing patients to simply email the office. The former is a data-collection page asking the prospective patient for pertinent information as enumerated below along with any other data you wish to collect at this point. At the top of this page will be a disclaimer saying that no diagnosis work will be done via email and that only those wishing to make an appointment to see the doctor should use the page. When the user sends the information gathered by this page, it will be automatically emailed to someone in the doctor's office. The proposed options for this will offer to allow the user to make a "consultation visit," an "office visit," or a "follow-up visit" appointment. Others will be easy to add. If free consultations are offered, that can also be an option here.

Data collected for prospective patients will include the following items:

  • First Name
  • Last Name
  • Address Line 1
  • Address Line 2
  • City
  • State
  • Zip
  • Daytime Phone
  • Evening Phone
  • Email Address
  • Best time to contact them (8-10 AM, 10 AM-12 PM, 1-3 PM, 3-5 PM)

  • How Did the patient hear about us
  • What is the patient interested in having done or what problems are they having?
  • What are the patient's comments and/or concerns?

The "Contact Us" page will have the same disclaimer as the "Make An Appointment" page, but will only get the user's name, phone number, and email address. The user will be allowed to enter comments so that they can ask billing questions, request prescription refills, etc., using email. When the user sends the information gathered by this page, it will be automatically emailed to someone in the doctor's front office.

4. "Procedures Performed" Page

The main purpose of this page is to offer the visitor a menu of procedures that can be performed as outlined below.

The menu will offer the buttons shown below for the visitor to select. There will be a page(s) for each of these procedure categories as elaborated anon. (Of course, more or fewer pages can be done to accomodate your needs.)

  • Skin-prick allergy testing (see 14 below)

4A. "Kid's Place" Page

OK, we're supposed to be doing a pediatric practice, right? So we need to have a kid's place on the website. Here we want to have pages that will make understanding what's going on, the nature of the disease, how to deal with it, etc., easier for a child to understand. That calls for the old crayon box look and feel and some special work on everyone's part. The pages we know we want here are:

  • Skin-prick allergy testing pre-schooler's page (see 26 below)
  • Skin-prick allergy testing kindergartener's page (see 27 below)
  • Skin-prick allergy testing, elementary-school-age's page (see 28 below)
  • Asthma testing, kid's page (see 29 below)
  • Drugs we may prescribe, kid's page (see 30 below)
  • For younger children with allergies, kid's page (see 31 below)
  • For younger children with asthma, kid's page (see 32 below)

Due to the nature of skin-prick testing, we feel it would be best to give 3 age-leveled pages and these are elaborated herein. Other subjects, such as "Drugs we may prescribe" can also be divided if desired. In addition, other pages can be added in the kid's place if desired.

5. "Location Information" Page

The main purpose of this page is to offer the visitor a small menu as shown below. In addition, this page will offer the user a set of driving instructions to the doctor's office as well as repeating the address information, phone, and FAX. "Printer-friendly" pages will need to be offered as well so that the prospective patient can quickly and easily print the information and use it to get to you and your immediate area.

The page menu options will include:

  • Map of the area showing exact office location as well as text directions to the office from both directions.
  • Hotels Nearby (self explanatory)
  • About the Area (local attractions, shopping, entertainment, restaurants nearby)
  • For the Disabled (Tell them there is adequate access to the office. Discuss any nearby special access locations, hotels, restaurants, etc.)

There will be four page(s) showing the indicated information reached by clicking these menus options.

6. "General FAQ's" Page

This page will offer answers to frequently-asked questions of a general nature. "Why an immunologist?" "What differentiates the immunologist from an ENT?" "What hospital(s) do you use?" "How long do I have to take shots?"

7. "Insurance Plans Accepted" Page

This page will give the visitor a notice that some procedures are not covered under most insurance plans and ask the potential patient to contact their insurance company before assuming that a desired procedure will be covered. If desired, the notice can be made as to whether the doctor's office will file for the patient. A listing of accepted plans will be shown and, if one or two of the plans represent substantial portions of your business, insurance company telephone numbers can be shown.

If the doctor has made arrangements for financing, this page will elaborate the details for the potential patient. Since there are numerous plans available, your office will need to provide us with the details you want to give your prospective patient on this page and we will format them as part of the page.

This page will state the doctor's privacy policy as regards data collected via the website as well as in the office. The website portion is considered as a required statement for any website that collects visitor information.

11. "Download Patient Registration Form" Page

This will be a compressed Adobe Acrobat Reader® format file that will allow the new patient to download the forms and fill them out before coming to the office, thus saving both your personnel and the new patient time. Moreover, the patient filling out such forms at their leisure at home can be asked for more information than you might want to try for in your waiting room.

This page will offer links to other websites that are of interest to the potential patient, as well as to the existing patient. Sites you use for reference, etc., can also be permanently "book-marked" here so that you can find them from any computer just by going to your own website.

This page will offer information about meetings, seminars, etc., the patient may have an interest in attending. Special emphasis will be placed on any seminar or event that features the doctor(s) as a speaker or other participant. This also allows for some mutual listing and "advertising" of events with other groups that might lead to business opportunities.

The primary purpose of this page is to offer the user more information about the specific tests and methods you normally run. In addition, you should provide:

  • Instructions you want the patient to follow before testing, e.g., "Do not take antihistamines for three days before the tests."
  • Post-testing instructions you may want to give, e.g., "You may apply antihistamine cream to any test site that is still itching..."
Each of these will begin with the disclaimer that these are general instructions and that any specific instructions they are given are to be followed in lieu of these general instructions.

The primary purpose of this page is to provide the patient with information that will help them feel confident about their safety when they trust the Doctor to do his/her thing--on them! Text will need to stress how every precaution is taken to prevent infections of all kinds, etc. To ensure that the information provided here, which is particular to the Doctor's office and outpatient setup, is accurate, this text will need to be provided by the Doctor and/or his staff. (As part of this page, we want to be sure to reiterate the Doctor's certifications, experience, affiliations with hospitals, any published papers, and memberships in professional associations-even church membership. We will do this even though it is all in the "about us" page. Remember, what is minor to you may seem extremely major to the patient.)

33. Questions to be considered

Questions that may make you want more or fewer pages on your site:

  1. Charitable work? No, OK. Yes, we want to mention and elaborate this. If you have any pictures, or have done lots of it, we will do a separate page and have a linkage directly off the home page to it as well as linking to it from the "About Us" page and the "About Your Safety" page.

  2. What other procedures do you do that we may have missed? What other pages do we need to tell potential and/or existing patients about your practice?

  3. Have you thought about cross-linking with other doctors, G.P.'s, dentists, etc., who do pediatrics work but are not working with immunology/allergies/asthma? Once the website is up, you can certainly offer them that option.

  4. Co-op advertising may be available to you from one or more of your pharmaceutical companies or from your hospital--just for the asking. If so, they may help you pay for your website and its maintenance, but beware, there are always strings attached to these kinds of arrangements.

  5. Pictures of the children you've helped? If you have them, and if you can get permission to place a few of them on the website, they make good fodder for what we're trying to accomplish. Testimonial letters are great, too! Do you have any of these? Let us know up front so we can incorporate them as we go along.
